Job Overview: We are looking for an experienced and hardworking Operations Officer to oversee Kilimanjaro Operations at our Client’s Offices in Arusha.
Job Location: Arusha
Duties and Responsibilities
- Planning, Creating, and updating the documents for the Safari and Kilimanjaro operations.
- Arranging the list of lunchbox orders and confirming with the supplier
- Open files for Safaris
- Porter’s allocation arranging and updating Porter’s list including assigning porters for supply.
- Creating and updating itinerary for safari/Trekking
- Briefing guides, chef, and porters for trekking
- Creating and updating Local Market, Imprest, and allowances on Software for Mountain departures
- Create and update imprest on the Software for transfers
- Collecting retirement documents from guides after trekking
- checking Polaris for transfers and trips
- Booking Flights
- Filling mountain departures in Porter’s system and follow up when assigning porters
- writing incident reports on mountain
- Briefing transfer drivers of transfers
- Arranging porters, guides, and chef Excel for payment
- Creating and updating permits in the TANAPA system
- Creating and updating Kilometers for transfers
- Submitting Local Market and guide allowance for approval
- Creating and updating flight vouchers in the SAP
- Updating mountain departures PO, Reservation number, and the total amount in the park Fees excel
- Confirming and updating lunch box and Hamper Lunch for clients to the supplier
- Updates porters guides and chef payment credentials
- Provide brief documents to the guide and collect them for retirement after trekking
- Follow up with mountain crew and payments
- Follow up in the KPAP system for assigning porters for the next departure
- Check and make a follow-up for flight schedules for all group arrivals and departures
- Taking orders and any duties assigned by the team.

TRANSPORT OPERATIONS JOB VACANCY
Job Overview: We are looking for an experienced and hardworking Transport Operations Officer to oversee Transport Operations at our Client’s Offices in Arusha.
Job Location: Arusha
Duties and Responsibilities
Daily Duties
- Supervising the booking and charting of all tour and confirming all tour assignments.
- Handling all day-to-day operations including Charting the vehicle for the Safari
- Supervising the work performance of Driver guides, Mountain Guides, Safari chefs, etc.
- Being familiar with tour routes to facilitate effective communication between Tour Guides and the company’s office.
- Preparing the sales team for pre-safari briefings of the trip.
- Preparing guides for the safari including selecting the guides according to the client’s needs
- Cross-checking the itineraries from the sales team whether its properly prepared.
- Checking weekly/Monthly reports of the cars, including checking the quality of the cars and ensuring that all transport fleet vehicles are utilized properly, ensuring that vehicles are properly maintained and serviced.
- Communicating and finalizing the Trip expenses well in advance
- Identifying & resolving operational issues and potential problems including conducting regular performance reviews of drivers and other transportation staff.
- Managing the hiring, training, and supervision of drivers and other transportation staff, ensuring compliance with safety regulations and company policies
- Ensuring that transportation-related data is accurate and up to date.
- Developing and implementing transportation-related breakdown recovery plans
General Requirements:
- Minimum 5 years experience in the hospitality industry.
- Previous experience in working with NCAA and TANAPA permit system will be highly valued.
- Experience working in the Hospitality industry is preferable.
- Good Communication Skills i.e., English speaking.
