The Position:

We’re looking for a full-time Operations Officer with experience as per below Job Spec:

To assist the Operations Manager & Supervisor in managing the company’s touring operation in Tanzania and ensuring that all aspects of the day to day operations comply with Cheli & Peacock Safaris standards and systems.

  • Facilitate a well- organised operations department
  • To ensure that all confirmed bookings are handled with care and due diligence in ensuring that the guests final documents are accurate and guests experience is executed in the best possible manner.
  • To ensure the integrity of the company is maintained by ensuring correct, well presented and accurate guests files
  • Be an asset to the company always looking at how we can excel in what we do and be the leaders in the industry.
  • To correctly handle confirmed files communicated by the Safari Planners and open both hard and soft file copies with proper labelling according to internal standards and ensure that the safari planners are also following the same procedure accordingly
  • To study the file, reading through, understanding and checking the consistency of the services according to itinerary and make sure the safari planners are doing the same
  • To make sure that the safari planners are updating the FCA dedicated to the operation of the files reflecting guests information, all flight information, special requirements, etc…
  • Make sure that the safari planners are processing confirmation vouchers to suppliers for all services
  • Going through confirmation vouchers from suppliers, controlling and that the safari planners are filing them in their respective files (hard copy and soft copy)
  • Follow up with safari planners on vouchers according to specific remarks (e.g waitlist, or change of room or full, flight change..) with update to the safari planners, FCA and documentation at the same times
  • Preparation of Tanzania park permits and it’s management (Prior experience required)
  • Ensure preparing the Welcome Letter to be communicated to the Guests upon arrival at the Meet & Greet time, with clear indication of Briefing information (place, time…)
  • Double checking the Preparation of the Guests detailed itineraries and questionnaire
  • Going through each Welcome Pack which is given to Guests on Arrival. In addition to the Welcome Letter and the Itinerary, these packs contain very important documents such as domestic or regional flight tickets, Karibu booklet, regional map, flying doctors membership cards and any other information that may be required. Report to the Operations Manager & Supervisor if anything is missing.

Fleet Management:

  • Ensure that the vehicle logistics and maintenance follows strict guidelines, and oversee the operation of vehicles (both company and outsourced) and report everything to the Operations Manager & Supervisor with on each road safari
  • Assist the Operations Manager & Supervisor in ensuring that the guides and vehicles are of the utmost professionalism – cars must be clean and polished, and in perfect working condition. Guides must wear uniforms and are properly trained.
  • Assist the Operations Manager & Supervisor in double checking that all vehicles, both company and subcontracted vehicles, conform to statutory and Cheli & Peacock requirements, in terms of licensing, standards, insurance etc.

Staff:

  • Induct, guide and oversee junior staff in the Operations Team
  • Coordinate with the Operations Manager & Supervisor rotas within the Operations Department for duty managers on call 24hrs.
  • Assist the Operations Manager & Supervisor in developing staff skills and attitude for better performance

Key Administration Duties

  • Work with the Tour Consultants in closing old periods to make space in the cabinets
  • Receiving and returning luggage to & from the drivers. Luggage must be labelled correctly & stored in the locked luggage room in the store. Date of return must be indicated on both the luggage and white board
  • Take part in the Duty Manager rota

Education:

Minimum Diploma and/or Bachelors in Tourism Management or any related field.

Experience:

  • 3 years experience as an Operations Assistant and/or Tour Consultant and knowledge of    Google suite applications.
