Kilimanjaro Dairy Cooperative Joint Enterprise (JE) Ltd
JE is a new institution that was registered in July 2017 under cooperative Laws Act No. 6 of 2013, by fourteen (14) primary dairy cooperatives that are involved in milk production as their major business with its headquarter at Boma Ng’ombe in Hai District– Kilimanjaro Region.
These dairy cooperatives agreed together to form and implement a Joint Enterprise as an Umbrella body for the Dairy Cooperatives in Kilimanjaro Region. The initial dairy cooperatives that formed the JE include; Chawamando, Nkuu Maziwa, Uduru, Kalali, Kwarungo, Foo, Nronga, Mamba, Sawe, Kyeri, Nguni, Marukeni, Nure and Lukani, all from Hai District. Later on, four (4) cooperatives from Siha District have joined JE. These coops are Kilingi, Gararagua, Kishisha and Lawate. These make JE currently to have 18 Primary Dairy Cooperatives in which each Primary Cooperative has 30 to 50 members on average. The essence of establishment of the JE of dairy cooperatives in Kilimanjaro was triggered by the intent to become more competitive in the formal dairy industry, which has become one of the main economic pillars for most rural households in Kilimanjaro Region after the decline of the coffee sector and enhances dairy farmer’s livelihood.
JE is one of the implementing partners in the Income and Employment for Women and Youth in Dairy Sector in North-East of Tanzania, which has been supporting JE with capacity strengthening.
VACANCY ANNOUNCEMENT
Position: Finance & Administration Officer – Volunteer
Location: Boma Ng’ombe – Hai District Headquarters.

Job Description
We are looking for someone to flexibly support with the day-to-day financial management and office administration of the JE activities. The candidate will be reporting to the JE Financial Management Advisor (FMA) whereby her/his main tasks will be managing KDCJE finances and administration issues of the projects that JE is involved. The candidate will also manage financial records and reports of the Uduru hub (MCC and feed mills) and report to Financial Management Advisor and in turn to the JE Manager and Board.
Duties and Responsibilities
- Compiling payment documents such as advance request and retirement from JE staff, invoices from suppliers and accounts for other payable documents based on JE policies and best finance practices
- Prepare payment vouchers
- To ensure all payments are properly supported by relevant supporting documentation, e.g. Invoices, EFD receipts, Service contracts, etc.
- Record financial transactions in the accounting system or excel sheet
- Maintain a proper filing system for all financial records, i.e. payment vouchers, bank reconciliations and other financial documentations
- Ensure all payment vouchers and supporting documents are stamping PAID once the payment is complete
- Ensure all expenditure are recorded in the correct budget line
- Work closely with the JE Financial Management Advisor to monitor the budget utilisation
- Ensure all payment vouchers are clearly marked with expenditure budget code
- Support JE Financial Management Advisor and other staff with project narratives in relation to expenditure and financial risks
- Ensure control, monitoring and execution of all financial and related activities for the projects, like budgeting, administration, planning and control.
- Follow up on project related receipts and payments, reconcile bank balances and manage liquidity levels of the project
- Prepare monthly bank reconciliations
- Petty cash management
- Ensure prompt payment and filling of all statutory payments to the respective authorities.
- Perform any other relevant duties as assigned by the supervisor
Specific duties with respect to the Uduru Hub businesses
- Monitoring and reporting all financial activities at the feed mill and milk collection of the Uduru hub to Financial Management Advisor and to JE board
- Monitoring stocks to ensure that stock levels in system match physical stocks
- Ensure credit notes are properly and authorized and processed
- Ensure that stock is correctly costed in the system
- Conduct sport check and participate in monthly stocktakes
- Prepares monthly throughout reconciliation and reconcile with general ledger
- Prepares and monitors yearly budget for the mill and mcc with Hub Manager
- Prepares report for monthly financial review and submits to Financial Management Advisor
Required Qualifications
- Advance diploma/Certificate in Accounting or Financing from recognised University/Institution
- At least one years’ experience in accounting field and financial management
- Fluent in English and Kiswahili
- Proven numeracy and data analytical skills.
- Discretion and a proven ability to handle confidential and sensitive information.
- Computer literacy with specific requirement of command of MS Packages -Excel, Word etc.
- Strong administrative and organisational skills
- Ability to prioritise own workload and work with minimal supervision
- Experience with donor funded project will be an added advantage
Contract Type: Renewable Contract depending on the availability of fund
Contract Duration: Four Months
